What Is Conversation Intelligence in Sales? A Guide for Revenue Teams

Conversation intelligence (CI) in sales is software that records sales calls and meetings, turns them into searchable transcripts and uses AI to analyze what was said. It measures things like talk ratio, questions asked, objections, competitor and pricing mentions and next steps, then feeds that into coaching, forecasting and the CRM. Newer tools also act during the call, not only after it.

Disclosure: we build Proshort, whose assistant Aria helps reps during live calls. We describe other vendors from their own published pages and link to them so you can check. For the live-help side of this topic, see our guide to real-time sales assistance.

Key takeaways

  • Conversation intelligence turns recorded conversations into data: transcripts, tagged call moments, trends across deals and a coaching view per rep.

  • The core pipeline has five stages: capture, transcription, analysis, insights and CRM integration.

  • Classic CI works after the call. Real-time assistance works during it. Revenue intelligence rolls CI into pipeline and forecast views.

  • How calls are captured matters as much as the AI. A meeting bot, a desktop recorder and a dialer integration each change what you record and how consent works.

  • Judge a CI tool by what changes on Monday: does a manager coach faster, does the CRM update itself, and does the rep get help when it counts?

What is conversation intelligence in sales?

The major definitions line up closely. IBM describes conversation intelligence as using AI-powered tools to analyze conversations and pull out insights a team can act on. Salesforce’s guide frames it as AI and machine learning that collect and analyze a sales team’s interactions with customers. Gong compares it to a search engine for salespeople: you find what was said on any call without replaying it.

In sales, the conversations are discovery calls, demos, negotiations and renewals. The value is not the recording itself. It is the structured layer on top: who spoke, which topics came up, which questions went unanswered, and what both sides agreed to do next.

How does conversation intelligence work?

IBM breaks the process into five stages. Every CI product follows some version of this loop, and each stage is a place where tools differ.

  1. Capture. Calls are recorded from video meetings, phone dialers or chat. This usually happens through a bot that joins the meeting, a desktop app on the rep’s computer, or an integration with the dialer or meeting platform.

  2. Transcription. Speech recognition converts audio to text and labels who said what. Accuracy on your product names, competitor names and accents decides how useful everything downstream is.

  3. Analysis. Natural language processing and machine learning find moments in the transcript: questions, objections, pricing talk, competitor mentions, sentiment and commitments. Some platforms run this step while the call is still live.

  4. Insights. Moments roll up across calls and deals into dashboards, alerts and coaching views, for example a recurring objection in one segment or a late-stage deal where pricing never came up.

  5. Integration. Results flow into the CRM and other tools, so notes, next steps and deal fields update without a rep typing them.

What does conversation intelligence measure on a sales call?

The signals below are the ones CI tools commonly track, with what each one shows and who usually acts on it.

Signal

What it shows

Who acts on it

Talk ratio

How much the rep talks compared with the buyer. Long rep monologues in discovery are a common coaching flag.

Front-line manager

Questions asked

How many discovery questions the rep asked, and which buyer questions went unanswered.

Manager, enablement

Objections

What pushback came up (price, timing, incumbent, security) and whether the rep resolved it.

Rep, enablement

Competitor mentions

Which competitors buyers name, how often and in which deals.

Product marketing, rep

Pricing discussion

Whether and when price came up, and how the buyer reacted.

Manager, deal desk

Next steps

Whether the call ended with a dated next step that has an owner.

Rep, manager

Sentiment and engagement

Shifts in buyer tone, how many stakeholders join, and who has gone quiet across calls.

Manager, RevOps

Commitments

What each side promised, pulled into follow-up emails and CRM tasks.

Rep, RevOps

Two cautions. A metric is a prompt for a conversation, not a grade: a high talk ratio during a demo is normal. And patterns need volume, so read trends across many calls rather than judging a rep on one.

Conversation intelligence vs real-time assistance vs revenue intelligence

The three terms overlap, and vendors use them loosely. The useful difference is when the help arrives and who receives it.

The lines are blurring. IBM notes that some CI platforms now give guidance during live calls. Salesforce now offers Conversation Intelligence powered by Momentum inside Sales Cloud, after agreeing to acquire Momentum in February 2026; the deal closed in March. When you compare tools, ask which of the three jobs each one does well instead of trusting the category label.

What is desktop recording in sales tools?

Desktop recording means two different things in sales software, and buyers often mix them up.

  • Desktop call capture. A recorder app on the rep’s Mac or Windows computer captures meeting audio for transcription and analysis, as an alternative to a bot joining the call. Proshort, for example, offers a desktop recorder for macOS and Windows alongside calendar-based capture.

  • Screen recording for video outreach. Tools such as the Vidyard screen recorder let a rep record the screen and webcam, send the video as a link and see when it is watched. This is prospecting and follow-up content, not call analysis.

Only the first creates call data for conversation intelligence. If a vendor says it supports desktop recording, ask which kind they mean, which meeting platforms it covers and how participants are notified. Our guide to sales call recording covers consent basics and what to record.

Who uses conversation intelligence, and for what?

  • Front-line managers review a few flagged moments instead of whole recordings, and coach on specific behaviors.

  • Enablement teams build onboarding from real won calls and see which talk tracks reps actually use.

  • RevOps gets CRM fields filled from the conversation, which makes pipeline reviews and forecasts less dependent on rep memory.

  • Product marketing tracks competitor mentions and lost-deal reasons in the buyer’s own words.

  • Customer success spots churn and expansion signals on renewal calls. See our roundup of AI tools for renewal calls.

How to choose a conversation intelligence tool

Use these questions in a vendor evaluation. Each one maps to a stage of the pipeline above.

  1. Capture coverage. Does it record Zoom, Google Meet, Microsoft Teams and your dialer? Can it capture without a visible bot if your buyers prefer that?

  2. Transcript accuracy on your words. Test it on real calls full of your product names, competitor names and accents.

  3. Timing. Does it only analyze after the call, or can it help the rep during the call?

  4. Grounding. When it suggests an answer, does it show the source (a doc, a battlecard, a won call) so the rep can trust it?

  5. CRM write-back. Which Salesforce or HubSpot fields does it update, and does the rep approve changes first?

  6. Coaching workflow. Can a manager find the three minutes that matter in a 45-minute call without listening to all of it?

  7. Consent and security. How does it handle one-party and two-party consent rules, how are participants notified, and does it hold SOC 2 Type II and ISO 27001? Our security checklist for sales call AI lists what to ask.

  8. Pricing model. Is it per seat, per recorded hour or a platform fee? Model the cost on your real call volume. Our breakdown of Gong pricing shows how much these models differ.

Where Proshort fits

Proshort is built for the during-the-call side of conversation intelligence. Aria joins Zoom, Google Meet and Microsoft Teams calls from the rep’s calendar and privately shows a sourced answer, a proof point or the next question while the buyer is still talking. Answers come from your battlecards, docs, website and won calls, with the source shown. The buyer sees no prompts on screen, and the rep decides what to say.

When a buyer names a competitor, Aria shows the rep the differentiators and proof that worked in won deals (AI battlecards). It detects objections live and tracks whether each one was resolved (objection handling). Across calls, it flags patterns such as rising competitor mentions, risk in late-stage deals and silent champions (signal detection). Recaps and follow-ups wait for the rep’s approval, and it connects to Salesforce and HubSpot.

Proshort is SOC 2 Type II and ISO 27001 certified, matches consent rules by state and country, and notifies recorded participants before the call starts (security). Pricing is published: $3 per call hour on the calls you choose, plus $75 per rep per month. If you only need a searchable call library for post-call review, a classic CI tool may be enough; our Gong alternatives guide compares the options.

Frequently asked questions

What is conversation intelligence in sales?

Conversation intelligence is software that records sales calls and meetings, transcribes them and uses AI to analyze what was said, such as questions, objections, competitor mentions and next steps. Teams use the output to coach reps, update the CRM and spot deal risk.

How is conversation intelligence different from call recording?

A recording is the raw audio or video. Conversation intelligence adds transcription, analysis and search on top, so you can find moments, measure patterns across many calls and push results into the CRM without replaying anything.

Does conversation intelligence work in real time?

Classic CI tools analyze calls after they end. A growing number also act during the call, showing the rep answers, objection responses or battlecards while the buyer is talking. Check which one a vendor offers, since the two serve different users.

What is the difference between conversation intelligence and revenue intelligence?

Conversation intelligence analyzes individual conversations. Revenue intelligence combines that data with CRM, email and activity data to judge pipeline health and forecasts across deals.

Is it legal to record sales calls for conversation intelligence?

It depends on where the participants are. Some US states and some countries require every party to consent to recording. Use a tool that notifies participants and applies consent rules by location, and confirm your setup with your legal team.
