Sales call recording means capturing buyer calls so your team can review them, coach from them and update the CRM from what was actually said. It is legal in most places with proper notice and consent, but a recording alone changes nothing. Revenue moves when AI helps the rep during the call, then turns the conversation into summaries, follow-ups, CRM updates and coaching.

Key takeaways

  • Consent rules differ by place: US federal law is one-party consent, some states such as California require all parties, and GDPR needs a lawful basis. Announce the recording on every call.

  • Record external discovery, demo, negotiation and renewal calls. Skip internal one-to-ones and sensitive HR conversations.

  • Many recordings are never replayed. Value comes from what happens before, during and after the call, not from the archive.

  • Proshort's Aria helps the rep during the call, privately, then drafts the recap, follow-up and CRM update for the rep to approve.

Is it legal to record sales calls?

Usually yes, if you give notice and get the consent the law requires where each participant is. This is general information, not legal advice; check with your counsel for your regions.

  • United States, federal: 18 U.S.C. 2511(2)(d) allows a party to a call, or someone with one party's prior consent, to record it, unless the purpose is criminal or tortious. This is called one-party consent.

  • All-party states: some states set a higher bar. California Penal Code 632, for example, prohibits recording a confidential communication without the consent of all parties. When participants are in different states, follow the stricter rule.

  • EU and UK: recordings are personal data, so you need a lawful basis under GDPR Article 6 (commonly consent or legitimate interests), clear notice, and a retention period you can justify.

The practical standard for B2B teams: say on every call that it is being recorded and why, show the platform's recording notice, let the buyer opt out, and set retention by policy rather than keeping everything forever.

What sales calls should you record?

Record the conversations that move or explain a deal, and leave out the ones that do not need to exist on file.

  • Record: discovery calls, demos, technical deep dives, pricing and negotiation calls, executive meetings, renewals and QBRs.

  • Usually skip: internal one-to-ones, performance or HR conversations, and calls where the buyer declines.

  • Map every recording to a deal. A call attached to a contact but not the opportunity is invisible in pipeline review. Exclude internal-only meetings from deal analysis.

Why recordings alone rarely change revenue

Recording solved a visibility problem: leaders could finally hear what happened. It did not solve the action problem. Managers cannot replay hundreds of hours a week, reps rarely revisit their own calls, and every insight arrives after the buyer has hung up. Post-call scoring tells a rep what they missed on Tuesday; it does not help them in the moment the buyer asked the hard question.

That is the difference between a recorder and a revenue system. Tools like Gong are built to score the call afterwards. Proshort is built so the rep gets it right on the call, and so everything after the call happens without extra work.

How to use one recording to unblock a stalled deal

When a deal goes quiet, you do not need to replay the whole call. Jump to three moments and you will usually find the problem in under ten minutes.

  1. The first clear problem statement. Did the buyer describe a business pain with a cost, or only a symptom?

  2. The first real objection. How did the rep handle it, and did the buyer accept the answer or move on politely?

  3. The next-step ask. Was it a dated commitment with named people, or "let's reconnect next week"?

Whichever moment is weak tells you the fix: rediscover the pain, re-handle the objection with proof, or reset the next step with the champion. Then log one coaching action so the rep knows what good sounds like on the next call.

How do you coach reps from call recordings?

Coaching from recordings works when it is specific, frequent and followed by practice. Generic feedback from a monthly call review rarely changes behavior.

  1. Score against your own playbook, not generic talk metrics. Proshort scores every call against your playbook and shows the rep the moment, the timestamp and the better line.

  2. Pick one skill per rep per week, such as discovery depth, MEDDICC coverage or next-step clarity.

  3. Turn the gap into practice. Skills and AI role-play builds a plan with drills and lets reps rehearse against an AI buyer that pushes back like real buyers.

  4. Prepare for the next call, not just review the last one. Use the previous call's commitments and open objections to open the next meeting where you left off.

How Proshort turns sales calls into revenue

Proshort is an AI platform for revenue teams. Its assistant, Aria, works across the whole call, with the focus on the live moment.

  • During the call: Aria Live joins Zoom, Google Meet or Microsoft Teams. Answers come from your battlecards, docs and won calls, with the source shown. It tracks the agenda and suggests the next question; the rep decides what to say. The buyer sees a normal meeting with the standard recording notice, and nothing to install.

  • After the call: AI summaries, follow-up emails in the buyer's own words, task automation and CRM updates to Salesforce, HubSpot or Microsoft Dynamics 365 after the rep's OK.

  • Across deals: pipeline review with MEDDICC and evidence from the calls, and signals such as a champion going silent.

  • Multilingual teams: LeadSquared runs transcripts and summaries in 111 languages, and went from a 19-rep pilot to company-wide in six months (LeadSquared case study).

  • Security: SOC 2 Type 2 and ISO 27001 certified, hosted on Google Cloud Platform with 256-bit AES encryption, and consent handled per region (security details).

  • Switching: existing Gong, Chorus or Fireflies recordings migrate during onboarding.

Frequently asked questions

Do I need the buyer's consent to record a sales call?

It depends on where the participants are. US federal law allows one-party consent, some states such as California require all parties to consent for confidential communications, and GDPR requires a lawful basis and clear notice. The safe practice is to announce the recording on every call and honor opt-outs.

What is the difference between call recording and conversation intelligence?

Call recording captures and stores the conversation. Conversation intelligence analyzes it for topics, objections, risks and coaching moments. Proshort goes a step further by helping the rep during the call and then handling the summary, follow-up and CRM update after it.

Can the buyer see Aria's suggestions during the call?

No. Only the rep sees Aria's answers and prompts. The buyer sees a normal meeting with the standard recording notice, with no pop-ups and nothing to install.

How much does Proshort cost?

The platform is $75 per rep per month and covers meetings, deals and coaching, including summaries, follow-ups, CRM updates, Ask Aria and role-play. Aria Live, the private help during the call, is $3 per call hour, only on the calls you choose. Enterprise plans are custom.

Can I bring my existing Gong or Chorus recordings?

Yes. Existing Gong, Chorus or Fireflies recordings migrate during onboarding, so you keep your call history and coaching library.
